Retool is a platform that allows rapid development of custom internal tools by connecting to databases, APIs, and other data sources. It provides an intuitive interface for building dynamic dashboards and workflows, enabling teams to manage, visualize, and interact with data efficiently.

Retool’s flexibility makes it ideal for creating role-based views, automating processes, and integrating various systems to boost productivity and improve decision-making. For our client, we migrated their data from Airtable to a scalable PostgreSQL database and integrated it with Retool.

This allowed us to create customized, role-specific dashboards for recruiters, hiring managers, and administrators. The migration improved data centralization, streamlined recruitment workflows, and enhanced data visibility, resulting in a robust, user-friendly system tailored to meet dynamic talent acquisition needs.

Technical Implementation

We integrated Airtable with Retool and migrated data to PostgreSQL on AWS RDS through a multi-step process for efficient data management.

Data was extracted using Airtable’s API, transformed into relational tables for candidates and job stages, and loaded into PostgreSQL using Python-based ETL scripts. Automated syncs with cron jobs and AWS Lambda ensured data consistency.

Retool was configured with secure role-based access, creating custom dashboards for recruiters, hiring managers, and administrators, enhanced with triggers and automated actions for workflow efficiency.

Data validation prevented duplicates, while AWS CloudWatch monitored performance, delivering a scalable, secure, and user-friendly recruitment management solution.
